Terms of Use

3.1 Account types

The Platform supports the following account roles:

• Client accounts — tourism businesses who own and manage their certification projects on the Platform. Clients are the primary users of TavaSIS: they complete performance indicators, attach evidence, and track progress through the certification workflow. Clients may work independently or with the support of an external Consultant.
• Consultant / Firm accounts — sustainability consulting firms and their team members who support Client tourism businesses through the certification process. Consultants access Client projects by invitation, providing guidance, reviewing evidence, and signing off on completed work. Consultants do not own Client projects; their access is granted by and subject to the Client relationship.
• Certification Body accounts — GSTC-accredited Certification Bodies, invited into a specific project by the Client or its Consultant in order to review evidence for an audit. CB access is read-only and limited to the projects they are invited to. CBs are independent of ZYT; nothing in these Terms makes ZYT a party to, or responsible for, a CB's assessment.
• Administrator accounts — ZYT staff managing the Platform.

3.2 Account responsibility

You are responsible for maintaining the confidentiality of your login credentials. You must not share your account with others or allow unauthorised access. You must notify us immediately at service@tavasis.com if you suspect unauthorised access to your account.

3.3 Eligibility

You must be at least 18 years old and have the authority to bind your organisation (if registering on behalf of a business) to use the Platform.

3.4 Free tier and the Gap Analysis

A free tier covering the Readiness Stage is available to tourism businesses without a subscription. Features available under the free tier are limited and described on the Platform. ZYT reserves the right to modify or discontinue the free tier at any time with reasonable notice.

We also offer a free Gap Analysis, a self-assessment against the baseline performance requirements of the GSTC Hotel Standard, which produces a report for your own use. It is a self-assessment: it is not an audit, not an assessment by ZYT, and carries no standing with any Certification Body. A Gap Analysis account may be closed or converted into a full project by agreement, and the report remains available to you.

3.5 Self-serve signup links

A Consultant firm may issue a link that lets a tourism business create its own account. Creating an account this way identifies the firm that introduced you; it does not by itself create any contract between you and that firm, and it does not give them access to your project until you or ZYT grant it. An account created this way is dormant until activated by ZYT.

4.1 Independent relationship

The relationship between a Consultant and their Client is independent of ZYT. ZYT is not a party to any consulting engagement, certification process, or professional service agreement between a Consultant and a Client. Consultants are independent practitioners and not employees or agents of ZYT.

4.2 Consultant representations

By using the Platform as a Consultant, you represent that you have the necessary qualifications, expertise, and authorisations to provide sustainability consulting services to your Clients and to use the Platform for that purpose.

6.1 Your content

You retain ownership of all content, documents, and data you upload to the Platform (“Your Content”). By uploading content, you grant ZYT a limited, non-exclusive licence to store, process, and display Your Content solely for the purpose of operating the Platform and providing services to you.

6.2 Accuracy of content

You are solely responsible for the accuracy, completeness, and legitimacy of all content you submit through the Platform, including evidence submitted in support of certification workflows.

6.3 AI-generated content

The Platform includes AI-assisted features that generate guidance notes and draft content at the performance indicator level. AI-generated content is provided as a drafting aid only. It must be reviewed, verified, and validated by your Consultant before use. ZYT makes no warranty as to the accuracy, completeness, or suitability of AI-generated content for any specific certification requirement. CB assessors make their own independent determinations.

6.4 GSTC standards

The GSTC standards and criteria incorporated into the Platform are the intellectual property of the Global Sustainable Tourism Council. Their inclusion in TavaSIS is subject to applicable intellectual property arrangements. Use of the Platform does not confer any rights over GSTC intellectual property.

8.1 Subscription terms

Paid subscription plans are agreed directly with ZYT. By subscribing, you agree to pay the applicable fees. Fees are stated in the currency set out in your invoice or order confirmation and are exclusive of applicable taxes unless otherwise stated.

8.2 Billing

Subscriptions are billed in advance for the agreed term (monthly or annual, as selected). ZYT does not currently operate automated card payment on the Platform: invoices are issued directly and settled by the payment method stated on the invoice. If we introduce card payment in future, we will give notice under Section 13 before doing so.

8.3 Cancellation

You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period. No refunds are issued for partial periods unless required by applicable law.

8.4 Price changes

ZYT reserves the right to change subscription prices with at least 30 days' written notice. Continued use of the Platform after a price change takes effect constitutes acceptance of the new price.
